Property Management Coordinator (Replacement 12-14 months)

Job description

We are currently looking for a Property Management Coordinator. The candidate will join a young and dynamic team within an environment in full expansion.

Head office: Vaudreuil

Position: Full time (40 hours per week)

Duties and responsibilities

  • Process tenant service requests diligently and follow up on them via the management platform in place.
  • Create internal and external work orders through the management platform and do follow up.
  • Communicate with suppliers for services calls.
  • Create purchase orders, receive and code invoices.
  • Receive and code credit card receipts.
  • Write and distribute all memos (French and English).
  • Verify and translate all monthly management reports.
  • Manage Energir, Hydro Québec, Hydro One, Bell, Enviro, etc. files.
  • Close accounts.
  • Verify and balance invoices discarded by accounting.
  • Research and request missing invoices.
  • Main liaison between the company and various service providers.
  • Handle tenant complaints diligently and ensure follow-up.
  • Respond to questions and requests from maintenance staff.
  • Develop work tools to help structure the department and improve our processes.
  • Maintain tenant and suppliers contact list.
  • Assist PMs with bids and suppliers for work.
  • Coordinate visits for the Property Manager with tenants and suppliers.
  • Manage and communicate mobile concierge agenda.
  • Manage and communicate with Espace famille and train for schedules and purchases.
  • Follow-up with tenants on their responsibilities regarding signs, garbage, etc.
  • Various special projects.
  • Perform all other related tasks.

Qualifications

  • Excellent time management skills and ability to work under pressure,
  • Excellent organization skills with attention to detail,
  • Dynamic personality and a team player,
  • Good analytical and problem solving skills,
  • Knowledge of Microsoft Office Suite (Word and Excel),
  • Strong communications skills in both French and English (spoken and written) is required,
